User management

The Users page is where your organisation manages its people. From here you create accounts, control who can do what and keep the directory tidy. Open it from the user menu, under Users.

Creating and managing accounts

The user list is a table with search, filters by role and by status, and sorting. To view or edit someone, click their row to open the side panel with the Profile, Security, Groups, Sessions and Storage tabs.

  • Create user — click create, then fill in the email, the name and the role. If you do not set a password, one is generated automatically.
  • Suspend or activate — suspending blocks sign-in immediately (on every device) but keeps the data. It is the recommended step before any deletion.
  • Reset password and Sign out of all sessions — useful for unblocking someone or forcing them out of every device.

Assigning roles

Foral has four roles. Always assign the lowest level needed:

Deleting with a data transfer

Deleting an account always requires you to say who keeps the data. Before you confirm, Foral shows a pre-check of the space to be transferred and of the impact on the recipient’s quota. On confirmation, the folders, documents, notes, plans and forms pass to that person, and automations are paused. There is no way to delete an account without first reassigning its data.

Adding people in bulk and managing groups

  • Automatic synchronisation (SCIM) — if your organisation uses Entra ID or Okta, accounts are created, updated and deactivated from your directory, including the human resources data (job title, department, employee number, cost center and manager). This is the recommended route for adding many people at once. Available on the Professional and Enterprise plans — see the SSO and SCIM guide.
  • Create individually — without an external directory, accounts are created one by one in the admin panel, where the human resources fields are on the same form.
  • Bulk actions — select several rows with the checkboxes and apply suspend, activate or change of role in one go.
  • Groups — in the Settings panel, Groups tab, organise people into groups used for sharing in Drive and Chat.
