Share and manage permissions
Drive lets you share files and folders in a controlled way, deciding who can view and who can edit. This page explains how to share with colleagues and how to create public links.
Access roles
When you share, you assign a role to each person:
| Role | Can do |
|---|---|
| Owner | Full control: edit, share, rename and delete. |
| Editor | Open and edit the content. |
| Reader | View only, without changing anything. |
The Reader role opens the file in read-only mode — the content cannot be changed.
Share with colleagues
- Select the file or the folder and choose Share.
- Type the email address of the person you want to share with.
- Select the role: Editor or Reader.
- Optionally, set an Expiry (7 days, for example), after which the access ends.
- Confirm.
That person gets an in-app notification and an email with a direct link to the file. The people with access appear in the sharing list, where you can later change the role or remove the access.
Create public links
To share with someone outside your organisation, create a public link:
- Open the sharing window and, under Public Link, choose Create link.
- Set an Expiry for the link (24 hours, for example).
- Optionally, protect access with a Password.
- Copy the link and send it.
Whoever receives the link opens the file without needing a Foral account. Images, PDFs, video and audio are shown directly on the page; ZIP archives show their contents.
Bulk actions
You can share and manage several items at the same time. Use the checkboxes to pick multiple files and folders and apply the actions together, saving time when you are organising large sets of files.
